Solution Spotlight: Google’s most popular asset tracking software systems explained

In GetApp’s Solution Spotlight series, we explain which software is at the top of Google’s search engine results and how each can meet your specific needs. To identify the systems featured here, we entered the term “asset tracking software” in a Google search the week of December 12, 2017, in an incognito window with the location set to the U.S. The first five solutions on the first page of Google are described here in alphabetical order.

Implementing asset tracking software is a logical step forward from using manual methods, such as spreadsheets, to keep track of your assets.

Whether it’s your IT hardware or another type of essential equipment, inefficient tracking methods will lead to lost items and confusion, and ultimately cost your small business in both wasted time and money.

Dedicated software will help you avoid these issues. It can also extend the life of your assets with features such as predictive and preventive maintenance.

Asset tracking solutions are made up of a combination of software, bar code scanners, radio-frequency identification (RFID) tags, and mobile apps. They streamline three main functions of asset tracking:

  • Documentation of asset features and maintenance schedules
  • Identification of asset location
  • Tracking of asset movement

But, choosing the asset tracking tool that offers the right combination of features and capabilities for your small business isn’t always easy; you need a way to compare the options side-by-side.

AssetCloud by Wasp Barcode Technologies is a cloud-based asset management tool that helps automate and streamline asset check-in and checkout, auditing and reporting, and other asset management tasks.

Some of the tool’s key features include:

  • Asset management: Conduct audits to track all assets an organization owns, and eliminate inconsistencies. Users can conduct audits on iOS or Android mobile devices with the tool’s mobile app. The multiquantity assets tracking feature allows users to track duplicate assets.
  • Reporting: Offers 25 prebuilt reports for managing assets and collecting data-driven feedback. Users can also create custom reports based on specific requirements such as asset type, time periods, and more, as well as schedule reports to run automatically at set times.
  • Triggered notifications: By using the tool’s notification engine, users can set custom triggers to be notified about any asset-related updates or changes.
  • Document management: A centralized database to store all contracts, service level agreements (SLAs), and software licenses and keep track of expiring contracts.

What makes AssetCloud unique?

The tool’s bar code asset tracking system allows users to create new asset tags or choose from over 100 predesigned templates. Users can encode the data based on site, location, or tag number.

In addition, according to the company’s website, more than 500,000 customers—including big brands such as IBM, Cisco, Boeing, and Sony—have chosen AssetCloud for asset management.

AssetCloud offers three pricing plans, which offer more features as they increase in price:

  • Basic: $39.00 per user per month (when billed annually) for a maximum of two users and 1 GB secure cloud storage.
  • Plus: $69.00 per user per month (when billed annually) for unlimited users and 2 GB secure cloud storage.
  • Complete: $99.00 per user per month (when billed annually) for unlimited users and 5 GB secure cloud storage.

AssetManage

AssetManage is an asset tracking solution designed for Windows systems. It is used by large corporations, as well as churches, schools, police departments, and museums to track equipment such as computers, printers, and fixed assets.

Some of the tool’s key features include:

  • Maintenance tracking: Track costs for repairs and other expenses, such as fuel costs, for each asset. Schedule regular asset maintenance. In addition, users can calculate monthly and annual depreciation schedules.
  • Asset tracking: Track asset ownership (status, assignment, and movement). Check assets out directly to employees or customers and print a checkout receipt.
  • Bar coding: Scan, print, or create your own bar code labels. Scan all assets in a particular area or department to easily retrieve lost assets or track their location. Works with all bar code scanners, whether they connect to the PC using a keyboard wedge, USB, or a wireless connection.
  • Integrated report designer: Create reports related to asset depreciation, maintenance, schedules, and more. Add graphs and images to reports and export to different formats, including PDF, HTML, Excel, and XML.

What makes AssetManage unique?

In AssetManage, users can calculate the disposal values of their assets. AssetManage automatically calculates accumulated depreciation, the book value of the asset, and profit and loss to arrive at a value. Users can see an overview of disposal information in the asset properties tab.

In addition, the tool’s “Run Report Using” functionality lets users generate reports using specific data from selected location, department, query, and more.

AssetManage pricing

AssetManage offers two editions:

  • Standard: Starts at $99 (one-time fee) for one computer license and goes up to $2,500 for a site license, which allows unlimited users at the same location.
  • Enterprise: Starts at $295 (one-time fee) for one computer license and goes up to $3,995 for a site license, which allows unlimited users at the same location. Works with Microsoft SQL Server, MySQL, or any other ODBC-compatible database.

Asset Panda

Asset Panda is a cloud-based platform that offers asset tracking as well as additional features such as facilities management, ticketing, purchase order management, and compliance.

You can access the tool on any device, both online and through the free mobile app.

Some of the tool’s key features include:

  • Asset tracking: View asset details such as location, contract expiration, insurance information, depreciation values, maintenance history, and scheduled or needed maintenance. See which assets have been checked in or out by employee or by date. Configure data fields to store information such as asset condition and repairs performed.
  • Automated reporting: Use built-in reports templates or generate custom reports. Import data from spreadsheets and generate reports related to the assets, their condition, repairs performed, depreciation value, and more. Users can choose the output of the reports (PDF, PDF with photos, or CSV) or email reports and asset information from the platform.
  • Mobile capability: The mobile app is compatible with both iOS and Android devices and has a built-in bar code scanner. Access asset details, reference reports, and conduct audits, using your mobile device. Scan bar codes or manually add assets, check in and check out assets with geolocation, and add photos, video, audio, and other details.

What makes Asset Panda unique?

Asset Panda offers a free mobile app with a built-in bar code scanner that helps quickly locate a particular item among those listed on the tool. This bar code scanner can read most commonly used bar codes and quick response (QR) codes, so you don’t have to buy bar code scanning hardware in addition to the software.

BarCloud by ASAP Systems is a cloud-based IT asset management and equipment tracking solution designed to track both hardware equipment and software licenses.

Some of the tool’s key features include:

  • Hardware tracking: Hardware such as hard disks, servers, networking devices, and other equipment can be tracked and managed by unique identifiers, including model numbers, serial numbers, and bar codes.
  • Asset check-in and checkout: Users can assign due dates to leased equipment and set notifications for upcoming due dates and missed deadlines. The asset automatically becomes “available” in the system when it’s checked back in.
  • Data import: Import asset data from an Excel, CSV, or TXT files using Google Drive, Microsoft SkyDrive, Box.com, or Dropbox.
  • Maintenance tracking: Automate maintenance scheduling by setting milestones such as calibration deadline, mileage point, expiration date, or expired licenses. Store information about when repair work was conducted, who performed it, and the overall cost.
  • Calculate asset depreciation: Configure settings within BarCloud to calculate depreciation on the assets using methods such as the straight-line method, sum-of-years method, or the double-decline method.
  • Reporting: Use built-in asset tracking reports, or configure your own. View real-time data of your assets at every level, from a snapshot of asset locations to insights into asset checkout or maintenance history.
